Privacy policy
Last Updated September 30, 2026
Effective since March 2014. Last updated September 30, 2026.
This policy explains what personal information we collect through aerointeractive.com, why we collect it, who helps us handle it and the choices you have. We collect only what we need to answer you, send what you ask for and understand how the site is used.
1. Who are we and how can you reach us?
Aero Interactive, LLC, an Indiana limited liability company ("Aero Interactive", "we" or "us"), runs this website. We are an AI product design and agentic web studio based in Carmel, Indiana. We decide how and why personal information collected through the site is used, which makes us its "controller" or "business" under privacy law.
- Email: hello@aerointeractive.com
- Mail: Aero Interactive, LLC, 880 Monon Grn Blvd Ste 101, Carmel, IN 46032, United States
This policy covers the website and its forms. Information a client shares with us during a project is covered by our agreement with that client.
2. What information do we collect?
Information you give us
- Contact form: your name, email address, message and, if you choose one, an area of interest. We also note the page you sent it from and when.
- Field Notes newsletter: your email address, and when and where on the site you signed up.
- Audit one-pager: your email address, and whether you ticked the box to also receive Field Notes.
- Readiness estimate: your answers to five multiple-choice questions. We score them on the spot and do not store the answers. If you gave your email for the one-pager, we save your result and when you finished with your contact record, and email you the result.
- Emails and calls: whatever you choose to share when you write to us or book a call.
Information collected automatically
- Analytics: where Google Analytics runs (see section 4), it records the pages you visit, how you arrived, your device and browser type, your approximate location and a few actions, such as sending a form or clicking to book a call. It does not receive your name, email address or message.
- Server logs: our hosting provider records technical details of each request, such as IP address, browser, page and time, to deliver and secure the site.
- Spam protection: our forms briefly count requests from each IP address, in temporary memory only, to block automated abuse.
- Session storage: after the one-pager step, your browser holds a short-lived encrypted token that links your readiness estimate to the email you gave. It expires within an hour.
Information from others
- Calendly: when you book a call, we receive the booking details you enter.
- Introductions and public sources: someone may introduce you to us, and we may look at public business information, such as a company website, to prepare for a conversation.
3. How do we use it, and on what legal basis?
For visitors in the UK and the European Economic Area, we give the legal basis for each use under the UK GDPR and the EU GDPR.
- Replying to your inquiry and discussing a possible project: taking steps you ask for before entering a contract, and performing a contract.
- Sending the one-pager and your readiness result: taking the steps you asked us to take.
- Sending Field Notes: your consent, which you can withdraw at any time with the unsubscribe link in every email.
- Measuring how the site is used: your consent, given through our cookie banner.
- Keeping the site secure and running: our legitimate interest in operating a safe, working website.
- Meeting legal obligations and handling legal claims: legal obligation and our legitimate interests.
We do not use your information for advertising.
4. Do we use cookies?
We use a small number of first-party cookies:
- Cookie choice: remembers whether you accepted or rejected analytics, for 6 months.
- Google Analytics: the _ga cookies tell one visit from the next. They last up to two years unless you delete them or withdraw consent.
In the UK, the European Economic Area and Switzerland, Google Analytics does not load until you click Accept, and rejecting is as easy as accepting. Elsewhere it runs by default. Advertising storage and ad personalization are always off, because we do not run ads. Wherever you are, you can:
- Choose Cookie settings in the site footer to change your choice. Withdrawing consent removes the analytics cookies.
- Install the Google Analytics opt-out browser add-on.
- Block or delete cookies in your browser settings. The site works fully without them.
5. Who do we share it with?
We share personal information only with service providers who host the site, send email and measure site use, under terms that limit their use of it to providing their service to us. The main ones are:
- Vercel, which hosts the website.
- Sanity, our content platform, which stores contact form messages privately and delivers the site's images.
- Loops, which sends our emails and keeps our mailing list.
- Google, for Google Analytics, and for Google Workspace, which hosts our email.
- Calendly, when you book a call. Its own privacy policy also applies.
We may also share information with professional advisers, with authorities when the law requires it, or with a successor if our business is sold or reorganized.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
6. Do we use AI tools?
We may use trusted AI tools to help us read and reply to messages, under business terms that do not allow the provider to train on the content. We make no automated decisions about you that have legal or similarly significant effects. The readiness estimate scores your own answers to give you an informational result and decides nothing about you.
7. Is your information transferred to other countries?
We are based in the United States, and your information is processed there. Where UK or EU law applies, we rely on appropriate safeguards, such as the EU Standard Contractual Clauses, the UK Addendum to them, or the EU-US Data Privacy Framework where the provider is certified.
8. How long do we keep it?
- Contact inquiries: up to 24 months after our last contact, unless you become a client. Then we keep what our contract and the law require.
- Field Notes: until you unsubscribe. We then keep your email address on a suppression list so we do not email you again.
- One-pager and readiness estimate requests: up to 24 months.
- Google Analytics data: up to 14 months.
- Server logs: for the short period our hosting provider keeps them.
- Readiness token: up to one hour.
9. How do we protect it?
The site is served over encrypted HTTPS. Contact form messages are stored where only our team can read them, and our forms use spam protection. No system is perfectly secure, but we work to protect your information and will tell you and the authorities about a breach where the law requires.
10. What are your rights?
Wherever you live, you can ask us to:
- Tell you what personal information we hold about you and give you a copy.
- Correct information that is wrong or incomplete.
- Delete your information.
- Give you your information in a portable format.
- Stop sending you Field Notes. Every email has an unsubscribe link.
UK, European Economic Area and Switzerland
You can also object to processing based on our legitimate interests, ask us to restrict processing, and withdraw your consent at any time without affecting earlier processing. You can complain to your data protection authority; in the UK that is the Information Commissioner's Office.
United States
Depending on where you live, you may have rights to access, correct and delete your personal information, and to opt out of certain processing. We honor these requests wherever you live, and we will not treat you differently for making one. We do not sell personal information or share it for cross-context behavioral advertising, and we do not use sensitive personal information. If we decline a request, you can appeal by replying to our decision.
How to make a request
Email hello@aerointeractive.com or write to the address in section 1. We may ask you to confirm your identity, usually by replying from the email address you gave us. An authorized agent can make a request for you with your written permission. We respond within the time the law requires: one month in the UK and EU, and 45 days in US states. Requests are free.
11. Is the site meant for children?
No. The site is for businesses and professionals and is not directed to children under 16. We do not knowingly collect their personal information. If you believe a child has sent us information, email us and we will delete it.
12. What about other websites?
The site links to other services, such as Calendly, LinkedIn, Instagram, X and Clutch. Their own privacy policies apply when you visit them.
13. How will this policy change?
When our practices change, we update this policy and the date at the top of the page. If a change is significant, we will say so on the site.
